I believe, when you start your job as a freelancer, you will naturally take some paper and pens and start to write down all the work you should be doing and the deadlines. 

However. as I mentioned above, freelancers need to cover all the office workflow. It means you should also do your job as an administrator, in marketing, or in accounting, as does the worker. Thus, implementing effective strategies will help you increase productivity, client satisfaction, and a stress-free life. 

Drawing from my own freelancing experience, I've found the strategies discussed below to be immensely beneficial. 

#1. Planning and Scheduling 

One of the key aspects of organization for freelancers is effective planning and scheduling. This starts with creating daily or weekly plans as your roadmap to prioritize tasks and avoid feeling overwhelmed. 

1.1 Typical planning for freelancers 

As a freelancer, keep in mind that not all tasks carry the same level of importance. Responding to emails, for instance, is often something that can be addressed during the gaps between more substantial projects or assignments. Neglecting actual work simply to reply to every unread email is not an efficient use of your time. 

It is better to take Brian Tracy's advice to “eat your frog” before tackling your lower priority tasks. A typical daily structure might involve dedicating the morning hours to addressing emails and messages, followed by tackling the bulk of your substantive work throughout the day. Then, once you're ready to wrap up for the evening, you can circle back and respond to any remaining emails or inquiries.

You can utilize Google Calendar, to create your time blocking and manage deadlines, meetings, and even breaks for a clear visual overview of our schedule. This allows you to anticipate conflicts, plan ahead, and ensure that you allocate sufficient time for both work and personal commitments.

Effective task management is another critical component of organization for freelancers. 

After breaking down your large projects into smaller, actionable to-do list items, put them on a app such as Trello or Asana to help you keep organize and easily prioritize them.

Clear communication with clients is essential for maintaining organization as a freelancer. Setting expectations upfront regarding deadlines, communication channels, and revision policies, you can avoid misunderstandings and ensure that everyone is on the same page. 

Client management tools, such as CRM (Customer Relationship Management) software, can also be incredibly helpful. These platforms allow us to organize client information, proposals, and invoices in a centralized location, making it easier to stay on top of our various client relationships.

Creating a dedicated workspace, even if it's just a corner of your homes, can have a significant impact on your focus and productivity as freelancers. 

Our mind is unique, it is easy to be "manipulated". By designating a specific area for work, we signal to our minds that it's time to be productive, rather than getting distracted by the comforts of our living spaces. 

Developing a filing system for organizing project files, contracts, and invoices is another crucial aspect of freelancer organization. Whether it's a physical filing cabinet or a digital document management system, having a consistent and accessible way to store and retrieve important information can save us time and reduce stress.

Tracking your time can be a valuable tool for streamlining your workflows and identifying areas for improvement. By monitoring how we spend our time, you can make informed decisions about where to focus our efforts and how to better utilize our resources.
